Task


The table below lists the fields of the Task form and provides utilization guidelines for each field.

Name×

Use this field to enter a name for the task.

Summary×

Use this field to enter a short summary that describes the work that needs to be executed.

Notes

Use this field to enter a detailed description of the work that needs to be executed.

Priority

Use this field to select the priority of the task. The available options are:

Critical

High

Medium

Low

Task ID

This field displays the unique task identifier after the task has been saved for the first time.

Type×

This field is automatically set to one of the following options to indicate how the task was created:

Manual

Automatic

Status×

Use this field to select the status of the task. The available options are:

Staged

The task is being, or has been, staged. The execution of the task should not yet have started.

Assigned

The responsibility for the completion of the task has been assigned to a specific group or group member. The execution of the task can start.

Pending

It is temporarily not possible to make any further progress with the execution of the task. The reason for this is specified in the Status Reason field.

Work in Progress

The task is currently being executed.

Waiting

It is temporarily not possible to make any further progress with the execution of the task. The reason for this is specified in the Status Reason field. This status, as well as the associated status reason, are automatically assigned when appropriate to automatic tasks only. Use the status "Pending" instead for manual tasks.

Closed

The work on the completion of the task has come to an end because of the reason specified in the Status Reason field.

Bypassed

The task has been cancelled.

Use this field to select the reason behind the status.

The available options for the status "Staged" are:

Request ID

This field displays the unique identifier of the request (e.g. the change) to which the task is linked.

Use this field to select the company that will be affected when the task is executed. Do this by filling out (part of) the company's name and subsequently pressing the Enter key.

Region

Use this field to select the region that will be affected when the task is executed.

Site Group

Use this field to select the group of sites that will be affected when the task is executed.

Site+

If only one site will be affected when the task is executed, use this field to select this site.

Address

This field displays the address information of the site selected in the Site field.

This table lists the files that have been attached to the task.

This field is automatically set to the company of the person who registered the task.

First Name+

This field is automatically set to the first name of the person who registered the task.

Middle Name

This field is automatically set to the middle name of the person who registered the task.

Last Name+

This field is automatically set to the last name of the person who registered the task.

Phone Number+

This field is automatically set to the telephone number of the person who registered the task.

Organization

This field is automatically set to the organization of the person who registered the task.

Department

This field is automatically set to the department of the person who registered the task.

Support Organization

This field is automatically set to the support organization of the person who registered the task.

Support Group Name

This field is automatically set to the group of the person who registered the task.

Requested for

Company+

Use this field to select the company of the person for whom the task is to be executed. Do this by filling out (part of) the company's name and subsequently pressing the Enter key.

First Name+

If the task is requested for a different person than the person who registered the task, you can use this field to select the person for whom the task is to be executed. Do this by filling out (part of) this person's first name and subsequently pressing the Enter key.

Middle Name

This field displays the middle name of the person for whom the task is to be executed after such a person has been selected.

Last Name+

If the task is requested for a different person than the person who registered the task, you can use this field to select the person for whom the task is to be executed. Do this by filling out (part of) this person's last name and subsequently pressing the Enter key.

Phone Number+

If the task is requested for a different person than the person who registered the task, you can use this field to select the person for whom the task is to be executed. Do this by filling out (part of) this person's telephone number and subsequently pressing the Enter key.

Organization

This field displays the organization of the person who requested the task, if this person is different from the creator of the task.

Department

This field displays the department of the person who requested the task, if this person is different from the creator of the task.

Operational Categorization

Tier 1+

Use this field to select the first tier of the operational categorization that is most relevant for the task.

Tier 2

Use this field to select the second tier of the operational categorization that is most relevant for the task.

Tier 3

Use this field to select the third tier of the operational categorization that is most relevant for the task.

Product Categorization

Tier 1

Use this field to select the first tier of the product categorization that is most relevant for the task.

Tier 2

Use this field to select the second tier of the product categorization that is most relevant for the task.

Tier 3

Use this field to select the third tier of the product categorization that is most relevant for the task.

Product Name+

Use this field to select the product name of the product categorization that is most relevant for the task.

Model/Version

Use this field to select the model or version of the product categorization that is most relevant for the task.

Manufacturer

This field shows the manufacturer of the product selected in the Product Name+ field.

Assignee Company

Use this field to select the group to which the task is to be assigned.
If this field is left empty, the service management application will automatically assign the task to the appropriate group based on the task's operational and product categorization.

Assignee Organization

Use this field to select the group to which the task is to be assigned.
If this field is left empty, the service management application will automatically assign the task to the appropriate group based on the task's operational and product categorization.

Assignee Group+

Use this field to select the group to which the task is to be assigned. Do this by filling out (part of) the group's name and subsequently pressing the Enter key.
If this field is left empty, the service management application will automatically assign the task to the appropriate group based on the task's operational and product categorization.

Assignee+

Use this field to select the specific group member to which the task is to be assigned. Do this by filling out (part of) the implementer's unique login name and subsequently pressing the Enter key.

Notify Assignee

Use this field to indicate if a notification is to be sent to the assignee. The available options are:

Start/Stop Clock

Start Time

The current date and time is filled out in this field when you click on the Start Clock button.

End Time

The current date and time is filled out in this field when you click on the Stop Clock button.

Time Spent

This field is automatically set to the difference between the values in the End Time field and the Start Time field when the Start Clock button and the Stop Clock button have been used. Alternatively, use this field to manually enter the time that you have actually spent working on the task before saving it. After you have saved the task, this time will be added to the Total Time field and this field will be cleared.

Total Time

This field displays the time that people have spent working on the task. This number is the sum of all entries made in the Time Spent field while the Task form was open. As soon as the change is saved, an entry is added to the Task Effort Log with the value of this field and this field will be empty again.

Summary

Use this field to provide a brief summary of the work performed.

Work Info Notes

Use this field to provide a detailed description of the actions performed. The information entered in this field is stored as a separate entry when the task is saved. The saved entries can be found in the Work Info History table.

Attachments

Use this table to attach any documents that are relevant to the work performed.

Locked

Use this field to indicate whether or not this entry in the Work Info History table can be modified. The available options are:

Duration in Minutes

This field displays the difference between the moment that the Status× field was set to "Closed" and the value in the Activate Time field.

Scheduled End Date+

Use this field to specify the date and time at which the assignee is scheduled to complete the work on the task.

Assign Time

This field is automatically set to the date and time at which the Status× field was set to "Assigned" for the first time.

Actual End Date+

Use this field to specify when the work on the task was completed.

Create Date

This field is automatically set to the date and time at which the task was registered.

Modified Date

This field is automatically set to the date and time at which the task was last modified.

User Data

Submitter

This field is automatically set to the unique login name of the person who registered the task.

Last Modified By

This field is automatically set to the unique login name of the person who last modified the task.

Calculation Unit Type

Use this field to select the calculation unit that is to be applied for the task. The available options are:

Use this field to indicate the total time that is estimated to be required to complete the task.

Actual Total Time

Use this field when the task is completed to specify the total time that was actually needed to complete the task.

Budget Cost

This field automatically shows the total cost amount that has been budgeted for the task.

Actual Cost

This field automatically shows the total cost amount that has been spent on the task.
